Submitting the contents of your thesis
When we design your thesis, we distinguish between two stages of submission. Firstly, you submit a (draft) version which we can use to create a design proof. This document does not need to be complete or final.
Once the design proof has been finalised, we will need the complete and final files; this is the second delivery stage. Below, we explain exactly what we expect from you at each stage.
To begin with…
1. Submission for the design proof
To get started on formatting your thesis, all we need is a draft version of your thesis Please submit this as a Word document. It does not need to be complete at this stage; the purpose of this document is to give us a clear idea of the scope and content of your thesis. Images do not need to be submitted separately at this stage and can simply remain within the document.
In summary:
- Please provide us with a draft Word file.
- Images and tables can remain in the Word document.
- It doesn’t have to be complete or approved just yet.
Is your concept ready?
…later in the process:
2. Submission of the complete interior text
As soon as the design test Once that is complete, work begins on designing the entire interior. We now need a final document. This is a single Word document in which tables and figures are positioned correctly within the text. Ideally, the figures should also be supplied separately to ensure quality. We will check the resolution of the images and, once they have been supplied, we will indicate which ones, if any, are of poor quality.
In summary:
- Final Word file, checked for spelling and grammar. The bold, italic and underlined text should already be correctly formatted in your document.
- Tables in the right place in the Word document.
- Images in the Word document and as separate files (.pdf / .jpg / .png – no PowerPoint or Word files) in the highest possible quality.
- The (two) approved title pages.
- Abbreviated chapter titles to be placed at the top of the page.
Can I submit my thesis as a PDF?
It is not possible to submit your published article as a PDF (as it appeared in a magazine, for example). The text in such a PDF no longer ‘flow’ properly; in other words, the layout is static. In order to format the text in the style of a thesis, it must be dynamic, so that lines can flow in a different way.
Converting or saving a PDF of this kind as a Word document does not produce the desired result, and unfortunately we cannot work with it in that format either.
If any changes have been made to the PDF version of the article compared with the Word document, we recommend that you incorporate these (often minor) changes into the Word document. You can then submit this corrected Word file to us. We can then be certain to process it correctly.
A PDF layout
In the world of theses, a PDF layout is a common form of formatting. In this case, your Word document is exported directly as a PDF and resized to fit the format of a thesis. You can usually add headers, page numbers and a marginal index to this.
If you’re interested in this, Persoonlijk Proefschrift can help you. We only recommend this if you’re already very happy with the existing layout of your Word document.
The ‘standard’ content of a doctoral thesis.
Every thesis contains a number of basic elements. If these are provided correctly throughout the process, our designers will be able to format your thesis efficiently and comprehensively. Our checklist provides a clear overview. Click on the eye icon to see examples of some of these elements.
